How do I get AI meeting notes into Zapier automatically?

Sarthak SinghChecked 4 Nov 20266 min read

Connect your notetaker to Zapier and start a Zap from its meeting or note trigger; Granola, Fellow, Read AI, Fireflies, Otter, tl;dv, Fathom and Circleback document one, but Notion AI Meeting Notes does not. tl;dv's Zapier help article says its Free plan includes 20 integration credits. Plan rules differ: Otter needs Pro, Business or Enterprise.

Short answer

  • Granola documents a webhook payload with the full transcript, summary, your private notes, meeting details, and a share link. Zapier is for paid users on Granola desktop apps. [1]
  • tl;dv's Free plan includes 20 integration credits. A credit counts each time a trigger runs; workflows pause when those credits run out. [2]
  • Fathom says its personal-use Zapier integration is available on Free and Premium. Its help page shows event selection but not the event names or payload fields in text. [3] [4]
  • Read AI documents summary, action-item, question, and meeting details in its Zapier guide; Read says paid plan or free Enterprise trial, while Zapier says a free or paid Read account. [5] [6]
  • MCP lets an AI assistant access meeting data when asked. Use a Zapier trigger, Make, or a webhook for a background workflow. [7] [8][9]

We haven't run this test yet. Where a table shows a product's behaviour, it's what that product's maker says, checked on 4 November 2026.

Disclosure. Candor is an app that will compete with some products named here. We describe every product, including Candor, from its own documentation, and we'll test them all with the same published method.

Which notetakers have a Zapier integration?

These vendors document a Zapier app or trigger. “Plan requirement” means what the vendor's integration page says, not a hands-on check of your account.

Which notetakers have a Zapier integration?
Notetaker Zapier event or route Plan requirement stated by maker
Granola“Note Added to Granola Folder” or manual “Note Shared to Zapier” [1]Paid plan; Granola desktop app [1]
FellowFive triggers: New AI Note, AI Note Shared to Channel, Action Item Assigned to Me, Action Item Completed, and Note Sent to Zapier [10]Team, Business, or Enterprise [10]
Read AI“New Meeting Notes” [5]Read says paid plan or free Enterprise trial; Zapier says free or paid account. Standard Free-plan eligibility: Not verified. [5] [6]
Fireflies“New Meeting” [11]Integration permissions must be enabled; plan requirement: Not verified. [11]
Otter“New Recording”; it also has an action to import recordings into Otter [12]Pro, Business, or Enterprise [12]
tl;dv“Recording Added,” “Note Added,” or “Transcript Added” [2]Free includes 20 integration credits; Pro has unlimited integrations. [2]
FathomChoose an event in Zapier; exact event names are shown in images, not text [3]Personal-use Zapier integration on Free and Premium [4]
CirclebackAdd a Zapier step to a Circleback automation, then select “Automations” as the Zapier trigger [7]Free has limited automations; Pro includes automations with all integrations. The Free limit is not stated. [8][9]
Notion AI Meeting NotesNodedicated Zapier trigger found in Notion's meeting-notes documentation. A Custom Agent can trigger on “Meeting note summarized.” [13] [14][15]Custom Agents: Business or Enterprise. This is a Notion workflow, not a documented Zapier connection. [14][15]

There are three different things people call an integration. A vendor's Zapier app gives Zapier a trigger or action for that product. A Make connection or webhook is another route for sending data to a workflow. An MCP connector gives an AI client access to meeting information when you ask it; the docs describe that as assistant access, not as a trigger that runs after every call. Circleback documents Zapier, Make, webhooks, and an API; Read AI documents webhooks and a REST API. [5] [8][9]

What does each integration send?

The field list matters more than the app logo. A meeting title and a full transcript are different payloads, and a CRM field that accepts a short summary may reject a long transcript.

What does each integration send?
Notetaker Data the vendor documents for Zapier
GranolaNote title; creator name and email; attendee names and emails; linked calendar event title and date/time; your private notes; Markdown summary; full transcript; share link. [1]
FellowAI notes, action items, and talking points. The page describes triggers and actions, but doesn't enumerate every output field. [10]
Read AISummary, action items, key questions, meeting date and time, and participants. Zapier's guide also says the app can provide transcripts and insights. The pages do not give one complete field list. [5] [6]
FirefliesThe setup lets you choose transcription format, whether to include speaker names and timestamps, and a notes-list format. The article's examples send summaries, action items, recordings, or transcripts, but do not give a complete payload schema. [11]
OtterOtter says Zapier can export transcripts, summaries, action items, and more. Its help page does not enumerate the fields in a “New Recording” payload. [12]
tl;dvSeparate triggers for recordings, notes, and transcripts. “Note Added” covers AI-generated and manually added notes. The help page does not enumerate every payload field. [2]
FathomExamples include a recording and AI summary, chosen summary sections, action items, and highlight clips. Exact event names and payload fields: Not verified; the help page shows these in screenshots. [3]
CirclebackYou choose which meeting outcomes to include in the automation step. The text page does not enumerate the available outcomes or payload fields. [7]

How does the sync work?

A Zap has a trigger and an action. The trigger watches for an event in the notetaker; the action writes selected trigger fields into another app. Mapping is the part where you connect “Summary” to a CRM note field or “Action item” to a task title. Think of a mailroom sorting envelopes into labelled trays: the labels decide where each piece goes, and a changed label can send it to the wrong place. The action's own field limits still apply (Zapier won't make a destination field longer).

The vendors document event-based triggers, but they don't all say how Zapier learns that an event happened. Granola says it sends a webhook payload. Read AI labels “New Meeting Notes” as an instant trigger. Circleback says its automation sends selected meeting outcomes to the connected app. The pages for the other products name triggers without saying whether Zapier polls for changes or receives a push. That transport detail is not verified for those products. [1] [5] [7]

The trigger also determines what “automatic” means. Granola's folder trigger only covers notes added after you set up the Zap. Its other trigger requires you to share a note to Zapier from the note sidebar. Read AI fires when a new report is first created and the user has at least Viewer access. Circleback can run an automation after every meeting or when its conditions match. [1] [5] [7]

Watch for these failure modes before routing notes into a CRM:

  1. Old meetings may not backfill. Granola's folder trigger starts with new notes after setup; Read AI's trigger fires when a report is first created. [1] [5]
  2. One Circleback step feeds one Zap. Connecting that automation step to a second Zap stops the first Zap from receiving data. [7]
  3. Fellow can send the same note through two triggers. “New AI Note” fires on note creation; “Note Sent to Zapier” fires when someone sends it from the note menu. Use one for a destination if you want one copy. [10]
  4. A failed connection can stop sending. Read AI turns off the integration after 25 consecutive failed sends, and says it stops if the subscription ends. [5]
  5. Free limits can pause a workflow. tl;dv counts a credit each time a trigger runs, not once for each Zap using that trigger. Its Free plan gives 20 credits. [2]

How do I set it up?

  1. Enable the connection in the notetaker. For example, Granola: workspace name → Settings → Zapier. Fellow: User Settings → Apps & Integrations → Zapier → Connect. Fireflies: Integrations → Zapier → Install. [1] [10] [11]
  2. Create a Zap and choose the notetaker as the trigger app.
  3. Pick an event that matches the data you need. Choose a transcript event for transcripts, or a note event for summaries and action items. [2] [10] [12]
  4. Connect your account. Some services ask you to generate and paste an API key. Keep it private; Otter says its key is shown only once. [5] [11] [12]
  5. Test with the sample record Zapier shows. Map each field into the destination app, then check whether text formatting and long transcripts fit the destination field. Granola shows up to three recent test meetings; tl;dv says its editor shows a test meeting, not your live data. [1] [2]
  6. Publish the Zap. Check the first new meeting in both apps. Confirm the note appears once and the transcript or summary is in the intended field.

For Circleback, first create an automation in Circleback, choose its conditions and meeting outcomes, then select that step as the “Automations” trigger in Zapier. For Fireflies, pick the transcript format and speaker/timestamp options before testing the trigger. [7] [11]

What this page can't tell you

  • We haven't run any of these Zaps. Trigger timing, actual payload shape, duplicate behavior, and reliability need a test with the same meeting sent through each product.
  • Fathom's event names and payload fields are visible only in screenshots on the help page we checked.
  • Read AI and Zapier describe Free-plan access differently. Read requires a paid plan or free Enterprise trial; Zapier says any free or paid Read account. Standard Free-plan access is not verified.
  • The docs do not say whether every vendor uses polling or webhooks. We only state transport details where the vendor names them.
  • Notion's Custom Agent trigger is a native Notion automation. We found no dedicated Zapier trigger in the meeting-notes documentation we checked; that does not establish that no indirect route exists.

Questions

Can I split AI summaries into notes and tasks in separate apps automatically?

Yes. A Zap can map meeting-app trigger fields to actions in other apps, such as creating a task or note, but the available fields depend on the trigger [1, 5–7].

Why do AI meeting notes fail to reach the CRM?

A workflow needs a trigger that exposes the right data and an action that maps it into the destination app. The page notes that not every vendor documents how Zapier receives its trigger events [1, 5, 7].

How do I get meeting notes and action items into another app automatically?

Connect a notetaker trigger to an app action in Zapier, then map the fields you need. Vendors document different triggers and payloads, so the notes or action items available vary by product [1, 2, 5, 10–12].

How can I take meeting notes in Google Meet automatically for free?

This page covers sending notes from supported notetakers into Zapier, not capturing Google Meet meetings. It says tl;dv's Free plan includes 20 integration credits, while other vendors have different plan rules [2].
