BlogTemplatesHow to write meeting minutes
Meeting minutes template (free, copy and paste)
A meeting minutes template has fields for attendees, decisions, votes, action owners, due dates and sign-off; the two below are free to copy into Word or Google Docs. Use the short version for team meetings and the formal version for boards or committees. For an RWA meeting or society AGM, adapt the formal version to applicable law and your rules.
Short answer
- Copy either template without a download or sign-up; the text on this page is free to use and adapt.
- Use the short form for a team record; use the formal form when you need to document a body's proceedings under its governing rules.
- Give each action a named owner and due date. Write “Not agreed” if either is missing.
- Check your rules before filling in quorum, approval or signatures. Discussion summaries belong in some minutes and are excluded under Robert's Rules. [3] [5]

Which version should I use?
| Meeting | Starting point | What to check before using it |
|---|---|---|
| Weekly team meeting or project review | Short version | Any team agreement on approving or sharing notes |
| Board or committee | Formal version | Applicable law and governing documents, including any adopted meeting rules |
| RWA meeting or society AGM | Formal version | The body's legal form, applicable state law and registered rules; the name “society” alone does not identify the procedure |
I'd use the short form when the next reader mainly needs to know what was agreed and who will do the work. The formal form adds space to explain how a decision was reached and recorded. A small committee can still have formal duties; headcount alone is a poor way to choose.
Short meeting minutes template
Select and copy the text inside this block. Leave the labels in place and fill in the details. For an informal team with no quorum or previous-minutes approval process, write “Not applicable”.

Keep each action on its own row. “Review the launch plan” leaves the next reader guessing; “Mira to send the revised launch plan by 4 November 2026” tells them who owes what and when.
Formal board or committee minutes template
This is a starting form, not a jurisdiction-specific statutory minute book. Keep the sections your rules need and add any prescribed particulars. A field for remote attendance does not establish permission to hold a remote meeting; check the applicable rules first. [3] [5]
The discussion field needs special care. For bodies following Robert's Rules, omit debate summaries; its official FAQ says minutes record actions. For Indian company boards within SS-1's scope, paragraph 7.2.2.2 requires a brief background and summary of deliberations, plus the rationale for major decisions. [3] [5]

Use “Not taken” for a vote count that was never taken. An unchallenged decision does not give you a count of votes in favour. Keep the motion's final wording separate from the discussion so a later reader can tell exactly what the body decided.
Filled example: weekly product team meeting
This is a fictional team meeting, with invented names and details. Its working agreement has no quorum requirement and allows the team to approve notes; those choices are examples, not procedures for a company board or society AGM.

How to use the template during a meeting
- Copy the chosen block into a document before the meeting. Add the agenda headings so you have a place for each decision.
- Record who actually attends. For a formal body, record changes that affect quorum or participation under its rules. SS-1 requires quorum throughout a meeting within its scope; Robert's Rules excludes substantive business without quorum. [3] [5]
- Write the decision under its agenda item. Ask for the final wording if it changed during discussion; label an unresolved matter “Deferred” or “No decision”, as appropriate.
- Confirm each action's owner and due date before the meeting ends. If nobody agreed a deadline, write “Not agreed” and ask for one.
- Mark the document “Draft” until the applicable finalisation or approval process is complete. Record the actual approval and signing dates; use the governing rules for corrections. [2] [3] [5]
A transcript is like the audio from a repair workshop: it can help recover the words spoken. Minutes are closer to the job card, which records the agreed repair and the person responsible. (Keep a required explanation of the decision; the analogy is no reason to delete it.)
Which rules must a formal record follow?
Check these matters with the secretary or person responsible for governance before using the formal template. This is general information, not legal advice.
| Setting | Verified rule | What it means for this template |
|---|---|---|
| Indian company records subject to section 118 | Minutes need a fair and correct summary and appointments made. Board and committee minutes also name directors present and directors dissenting from or not concurring with each resolution passed. [1] | Keep the attendance, appointments and named dissent fields. Check any exemptions or modifications for the company's class. |
| Indian company records under rule 25 | The rule provides for entry within 30 days of the meeting's conclusion and permanent preservation of the relevant minute books. Board or committee minutes are signed by that meeting's chair or the next meeting's chair. [2] | Record entry and signing dates separately. A copy in a shared document alone does not establish compliance. |
| Indian company boards within SS-1's scope | SS-1 covers quorum, contents, finalisation and signing. It distinguishes noting previous minutes from the earlier draft-comment process. [3] | Check SS-1's scope and section 7. Do not substitute a generic “approve at next meeting” workflow. SS-2 concerns general meetings. [7][8] |
| UK company directors' meetings | Section 248 requires minutes of all proceedings and retention for at least ten years from the meeting date. [4] | This period concerns directors' meeting records, not every record belonging to a UK organisation. |
For an RWA or cooperative housing society, first identify the registration law and registered rules. Ask the secretary for the applicable quorum and voting provisions, who approves and signs minutes, and the retention rule. The company-law examples above cannot settle those questions for a society.
Which tools help with a meeting MoM?
We haven't run this test yet. Where a table shows a product's behaviour, it's what that product's maker says, checked on 4 November 2026. The templates themselves need no recording or transcription tool.
| Tool | Useful step | Documented limit or requirement |
|---|---|---|
| Google Docs voice typing | In a document, choose Tools → Voice typing, then click the microphone to dictate your own notes. | Google lists the latest Chrome, Edge and Safari. This workflow types speech into a document. [6] |
| Word Dictate on Mac | Open a document and choose Home → Dictate while signed into Microsoft 365. | Microsoft requires a microphone and reliable internet; the Mac desktop feature is subscriber-only. [9] |
| Google Meet transcripts | On a computer in a meeting, choose Meeting tools → Transcribe → Start transcription, then confirm Start. | Availability depends on the edition and host controls. Google's list includes Business Standard and Workspace Individual; check the full list before relying on it. [10] |
Google says the browser controls Docs voice typing's speech processing and sends the text to Docs. Google's help page doesn't say whether that processing happens on your device. Meet transcripts contain spoken words and are saved in the organiser's Drive; they exclude chat messages. These are different tools for different source material. [6] [10]
If you use an AI note taker, compare its draft with your own notes and any authorised transcript before putting text into the minutes. Check the current vendor terms and your organisation's recording and sharing rules before capture. A model's confident wording cannot establish that a motion passed.
What this template can't tell you
It cannot determine your governing law, who counts toward quorum or whether a particular vote was valid. It also cannot determine who must approve or sign your minutes, or how long your records must be kept. Get those answers from the applicable law and governing documents, including any adopted parliamentary authority. Robert's Rules yields to contrary law, bylaws and special rules; it is not automatically every body's procedure. [5]
The formal block leaves room for common particulars, but it is not a complete compliance checklist for any specific organisation. Indian companies must check the applicable Act and rules alongside the relevant standard. (SS-1's scope has exclusions, including a one-director OPC and section 8 companies, with conditions on exemptions.) [1] [3]
