# How to write a minutes of meeting (MoM) email, with a template

A minutes of meeting (MoM) email puts the topic and date in the subject, then gives a greeting, short summary, decisions, an action table, a correction deadline and a sign-off. Give each action one named owner and a due date. The templates below suit ordinary work meetings; a board meeting or society AGM has formal requirements to check.

You can join the Candor waitlist at candor.inc. [7]

Disclosure: Candor is an app that will compete with some products named here. We describe every product, including Candor, from its own documentation, and we'll test them all with the same published method.

> **Short answer**
> - Use a searchable subject such as `MoM: Website launch review | 26 Oct 2026`.
> - Put a named owner and a due date beside every agreed action; mark missing details “to confirm”.
> - Request factual corrections by a stated time. Ask for any required approval separately.
> - Use these as project email templates. Check the governing rules before preparing formal minutes.

## Copy-ready MoM email templates

These are original templates filled with fictional details so you can see how much to write. Copy one into an email, Word or Google Docs, then replace the names and meeting details throughout. Remove unused rows. The pipe-separated action tables remain readable as plain text; you can also turn them into document tables.

All names, organisations, dates and events in the templates and worked example are illustrative. They describe no real meeting.

## Worked example: a client project review

Suppose a client says the launch can go ahead only after its privacy reviewer clears an analytics tag. Keep that condition next to the launch decision. Otherwise, someone reading only the first bullet could schedule a launch that nobody approved.

```text
Subject: MoM: Northstar website launch review | 26 Oct 2026
Hi Northstar team,
Thank you for meeting on 26 October to review the website launch.
Attendees: Priya Shah, Northstar; Mateo Cruz and Anika Rao, Brightline.
Summary
The target launch date is 2 November, conditional on written clearance
of the analytics tag by Northstar's privacy reviewer. Clearance is pending.
Decisions
- Target 2 November for launch only if the privacy reviewer clears the tag.
- Use the approved product name, "Northstar Desk", on the homepage.
Actions
| Action | Owner | Due date |
| --- | --- | --- |
| Obtain and share the privacy review outcome | Priya Shah | 29 Oct 2026 |
| Apply the approved product name on the homepage | Mateo Cruz | 28 Oct 2026 |
Open item
- If clearance is delayed or refused, the launch plan needs a new decision.
  Priya will raise this at the 30 October project review.
Please reply with factual corrections by 4 pm IST (UTC+05:30)
on 28 October 2026. This request is for corrections to the notes;
the privacy review outcome is a separate pending item.
Regards,
Anika Rao
Project lead, Brightline
## What should a MoM email include?
Write for the person who missed the meeting and needs to act on the record. A long account of the discussion can feel thorough while hiding the one decision that changes tomorrow's work. I'd keep the summary short and put the action table in the email body, even if fuller notes live in a document.
1. Write the subject as `MoM: Website launch review | 26 Oct 2026`. Add a client or project name if several meetings share a topic.
2. Greet the recipients and identify the meeting. Record who actually attended; the invite list alone does not establish attendance.
3. Write a summary of the outcome in one or two sentences. If nothing was decided, say so.
4. List each decision with its conditions. Put suggestions and unresolved questions under open items. Keep an objection attached to the disputed point instead of reporting consensus.
5. Build the action table. Use a verb and a concrete deliverable, then add one named owner and a due date. “Marketing to follow up soon” gives nobody a clear task. If ownership was never agreed, write “owner to confirm” and ask who will take it.
6. Request factual corrections by a specific date and time. For a routine project email, I'd allow one or two working days if the team has no set process. This is a suggested review window, not a prescribed deadline.
7. Sign off with your name and role. Link the fuller record if there is one, and identify who will update it.
Treat a transcript like a box of receipts: it can help you trace a statement, but someone still has to work out which statements became commitments. Keep enough context to explain a decision without pasting the whole conversation.
## How should you send and correct it?
For routine work meetings, aim to send the email the same day or the next working day, while the discussion is fresh. Use your team's agreed schedule if it has one. The following checks concern project emails; [formal minutes have their own requirements](#formal-minutes).
1. Check the recipients against who needs to act or review. Put action owners in To and people who need visibility in Cc. Review an external recipient list before forwarding internal discussion.
2. Check every decision against your notes. Ask the person concerned about a disputed commitment before presenting it as agreed. (An empty correction thread tells you very little about what each recipient read.)
3. Make the time zone explicit for cross-border teams. `4 pm IST (UTC+05:30)` and `4 pm Philippine Standard Time (UTC+08:00)` are different deadlines. [9] [10]
4. Choose one place for the maintained record. Keep short notes in the email body; for a longer document, include a brief summary in the email and check that intended recipients can open the link. A PDF attachment can preserve the circulated version, but later corrections need a revised attachment.
When a correction arrives, reply in the same thread and identify the changed item. For example: “Correction to action 2: Mateo's due date is 29 October, not 28 October.” Update the maintained copy and label its revision date so a forwarded first draft does not silently disagree with the current record.
Request an explicit response to an unresolved commitment or approval. Do not write “deemed approved if there is no reply” merely because a template has a correction deadline. For a client or vendor email, check the agreement's change and approval process before sending words that could be read as an order or acceptance.
## Is an emailed MoM the same as formal minutes?
An email can carry a draft or a copy of minutes. Its subject line does not establish that the relevant formalities were followed.
For example, section 118(1)–(2) of India's Companies Act, 2013 sets requirements for minutes of specified company meetings, including preparation and signing in the prescribed manner, keeping them in the minutes books within 30 days, and a fair and correct summary of proceedings. Section 118(10) addresses approved ICSI secretarial standards. Check the applicable provisions and exemptions with your company secretary. These are not deadlines for every office MoM email. [1]
For an RWA (residents' welfare association) or society AGM, first establish the jurisdiction and legal form of the body. Ask its office for the governing law and registered bye-laws before choosing a format. Check quorum and voting rules as well as what the record must contain, who signs and how long it must be kept. An Indian company-law example does not settle requirements in the Philippines or for an association elsewhere.
This is general information, not legal advice.
## What tools help you send a clear MoM?
Use a document editor when the email needs a linked record; use a transcript or AI note taker as material to check while writing. We haven't run this test yet. Where a table shows a product's behaviour, it's what that product's maker says, checked on 4 November 2026.
| Tool | What its maker documents | A useful check |
| --- | --- | --- |
| Google Docs and Calendar | In a Doc, type `@` and choose Meeting notes to select an event and pre-fill its details. The organiser can then choose Share & attach. [2] | Linking the event does not itself attach the Doc. Check recipients and access before sharing. |
| Word for the web | Microsoft documents memo templates and a view-only sharing link. [3] | Use the layout if it helps; replace the contents with the actual meeting record. |
| Google Meet | “Take notes for me” creates a notes document after the meeting. It requires an eligible Workspace edition or Google AI plan. Sharing depends on the organiser's settings. [4] | Check feature availability and the intended recipients. |
| Microsoft Teams | Live transcription includes speaker names and timestamps. By default, organisers and co-organisers can download `.docx` or `.vtt` files. [5] | Check language and access settings; participants can choose to hide their identities. |
| Zoom | Zoom's May 2026 guidance separates live captions from saved meeting transcripts. A host or admin must enable transcripts. [6] | Check that a saved transcript is enabled before relying on one after the call. |
Google said on 16 July 2026 that, on Business Standard and Business Plus, "Take notes for me" turns on by default for meetings with three or more participants, starting no sooner than 21 September 2026. Admins can change that default, and users can turn it off in their Meet settings [11].
Google warns that its generated Meet summary can be incomplete, inaccurate or absent. [4] Check each claimed decision against the discussion and ask the named owner to resolve doubtful wording. For any recording or automated note-taking, check the applicable consent requirements and your organisation's policy before starting.
## What this page can't tell you
These templates cannot establish the legal effect of a particular email or decide whether your meeting met its formal requirements. Ask your company secretary, association office or legal adviser when the record concerns a formal decision. Whether these features are on in your account depends on your plan and your admin's settings. [4][6] Ask your administrator before you depend on an automated record.
## Frequently asked questions
### Do meeting transcripts count as minutes?
No, a transcript is not the same as minutes. The email template separates the summary, decisions and agreed actions, and formal meetings may have additional requirements to check. [1]
### How do I make notes and actions for a long meeting?
Put the meeting topic and date in the email subject, then list decisions and actions with named owners and due dates. Mark unknown details as “to confirm” and give readers a correction deadline.
### Do you have any advice for writing meeting minutes?
Keep the summary short and give each agreed action a named owner and due date. Put unresolved questions under open items and request factual corrections by a stated time.
### How do you prioritize and follow up on action items from meetings?
List each agreed action in the email with its owner and due date. The template also asks readers to confirm disputed actions and keeps unconfirmed work marked open.
