Meeting minutes vs meeting notes vs transcript: what's the difference?

Sarthak SinghChecked 3 Nov 20267 min read

Meeting minutes are the formal record of a meeting's proceedings and decisions, meeting notes are working reminders, and a transcript is a written account of what was said. Minutes become official only after the approval your organisation's rules require. Use notes for an ordinary project call, minutes when a formal record is needed, and a transcript to check wording.

Short answer

  • Minutes record the body's business and decisions in the form its rules require.
  • Notes help people remember context and carry out agreed actions.
  • A transcript records speech; check its wording before relying on it.
  • An AI summary remains a draft until people check it and complete any required minutes procedure.

What is the difference?

What is the difference?
Record What it contains Who it is for When to use it Usual formal status
Meeting minutesProceedings and decisions, plus the details the applicable rules requireThe body holding the meeting and people entitled to its recordsA board meeting or society AGM that needs a formal recordOfficial minutes once the required approval or authentication is complete
Meeting notesSelected context, open questions and agreed follow-upParticipants and people doing the workA project call or one-to-one where useful reminders are enoughWorking material, unless formally adopted as minutes under the body's rules
TranscriptA written account of speech, sometimes with speaker labels and timestampsPeople checking wording or preparing another recordYou need to find a passage or check a disputed statementUsually a supporting record, rather than approved minutes

A longer document can feel more trustworthy because it contains more detail. But detail and authority answer different questions. A recording of a restaurant order might capture a diner changing their mind several times; the final order ticket tells the kitchen what to cook. In a meeting, you still need to establish which proposal the group adopted.

“Minutes” also does not mean “a shorter transcript”. Robert's Rules says minutes record what the meeting did and should not summarise the debate. Indian company law requires a fair and correct summary of proceedings. The right level of detail depends on the rules governing your meeting. [1][2]

How does the same discussion look in each form?

This fictional example was written for this page. It is an extract about one agenda item, not complete minutes or a demonstration of any tool. Assume the committee has authority to decide the item and has met its quorum requirement.

Transcript extract

Chair: The entrance roof repair quote is forty-eight thousand rupees.
Treasurer: I need to check whether that includes waterproofing.
Member: I propose approving up to fifty thousand rupees, provided the quote includes waterproofing.
Chair: We will vote on that proposal. All in favour? Any against?
Chair: The motion is carried. Treasurer, please check with the contractor before we book the work.
Treasurer: I will check by Friday and report back.

Working notes

Entrance roof repair
Quote: Rs 48,000.
Committee approved a limit of Rs 50,000, conditional on waterproofing being included.
Treasurer to confirm with the contractor by Friday and report back before booking.
Waterproofing inclusion is still unconfirmed.

Draft minutes extract

Item: Entrance roof repair

The committee considered the Rs 48,000 quotation. It resolved to approve expenditure of up to Rs 50,000, subject to confirmation that the quotation includes waterproofing. The motion was carried.

Action: The Treasurer will confirm with the contractor by Friday and report back before the work is booked.

Status: Draft extract, pending the association's required approval process.

The spending limit and the waterproofing condition survive every version. The minutes do not claim the quote includes waterproofing: nobody has confirmed it. They also do not invent a vote count or say “unanimous” merely because the chair announced that the motion carried.

An extract about one item cannot establish that the whole meeting followed the rules. Add the attendance and other required meeting details to the full minutes. For an Indian company board, the statutory requirements above include named dissent; a bare “motion carried” would not supply it. [2]

Which record should I use?

  1. Check whether the meeting needs formal minutes under its law or governing rules. If it does, arrange a minute-taker and the required approval or signing process; a transcript alone does not complete that work. [1–3]
  2. For an ordinary work call, write notes that separate agreed actions from suggestions. Give each action an owner and an agreed deadline. If nobody agreed a deadline, say so.
  3. Capture a transcript only when you need the fuller wording and have the authority or permission required for that meeting. Check important figures and names against the source or with participants.
  4. If you keep both, label the minutes' status and keep the supporting material separate. Follow the retention rules and access policy that apply to each record; the UK ten-year rule above is not a universal deletion schedule. [3]

In Indian work calls, “MoM” often means “minutes of meeting”, even for a short follow-up email. Write what the document is for. Calling work-call notes “MoM” does not establish that they satisfy statutory company requirements. [2]

Delete fields that do not apply and add those your rules require. For example, a group following Robert's Rules should not use the discussion-summary field to record debate. For corrections made when minutes are first approved, its FAQ says to correct the earlier text and record approval “as corrected”, without listing those corrections in the current meeting's minutes. [1]

For a company board, have the company secretary or responsible officer check the statutory format and process. This template does not establish compliance with section 118 or any secretarial standard. [2]

Which tools help?

Which tools help?

Google DocsIts Template Gallery opens a copy of a chosen template. You can also start with the original text above. [5]Some template options depend on the account. A template does not supply your governing rules.
Word for the webMicrosoft documents opening memo templates in Word for the web. [6]A memo layout is a writing aid; check the content and required minutes procedure yourself.
Google Meet transcriptsRecords spoken words and saves the transcript in the organiser's Google Drive. [8]Available on specified Workspace editions; host settings control who can start it. Meeting chat is excluded.
Zoom cloud-recording transcriptionCreates an editable VTT transcript with timestamps. [9]Zoom lists a Pro, Business, Education or Enterprise account, with cloud recording and audio transcription enabled.

For AI-assisted working notes, Google's “Take notes for me” generates a Google Docs document saved in the organiser's Drive and attached to the Calendar event. It requires an eligible Workspace edition or Google AI plan. Google warns that the summary can be incomplete, inaccurate or absent; who can read it depends on sharing settings. Check those settings before you start. [7]

Google said on 16 July 2026 that, on Business Standard and Business Plus, "Take notes for me" turns on by default for meetings with three or more participants, starting no sooner than 21 September 2026. Admins can change that default, and users can turn it off in their Meet settings [12].

Check the proposed decisions against what the group agreed before using any generated text in minutes. (A polished sentence can still contain a task nobody accepted.)

What this page can't tell you

This page cannot determine which rules govern your organisation, whether its quorum was valid, or whether a particular record is privileged or admissible. It contains no product accuracy results. Ask the person responsible for the record to resolve a disputed decision; leave the draft marked as a draft while it remains unresolved.

Questions

Are meeting minutes the same as meeting notes?

No. Minutes are the formal record of proceedings and decisions, while notes are working reminders for context and follow-up.

Can AI meeting notes be used as minutes?

Not automatically. Check the AI summary and complete the approval or authentication procedure your organisation requires.

Does MoM mean minutes of meeting?

Yes. MoM is short for “minutes of meeting,” another term for meeting minutes.

Can AI meeting notes reliably capture my follow-up commitments at work?

Treat them as a draft and check the commitments against the discussion. A transcript or summary does not replace the approval required for formal minutes.
